AppColl Tandem accounts are a great solution for clients requesting direct access to their IP information in your account.

You can invite your clients to set up a no-cost Tandem account and receive updates of their data from your account.

What's the Process to Set Up Tandem?

Select Data to Sync

  1. To start the Tandem sync process, begin by going to the new Tandem module.
  2. Click the Create Tandem Account button. 

  1. A pop-up will appear giving you the opportunity to select which information you would like synced to a Tandem account. First, pick a client from the Select a client field. 
  2. Matters will be automatically synced. To configure which fields will be synced, click the Dropdown Arrow to select from the options. Note that only key bibliographic fields are transferred by default. The Notes field and any custom fields are not included. Upon creating the account, go to the Matters module and view the ‘Tandem Matter Sync - <client name>’ report to see which exact matters will be transferred.
  3. Select whether to also Sync Tasks or Sync Files. Like for Matters, you can also configure which Task fields to sync. Note that all external deadline tasks (open or completed) associated with your clients matters will sync if you select the Sync Tasks option. Comments are not included. IMPORTANT: This means your client will see any past-due external deadline tasks.
  4. Click the Create button. Note that upon clicking the Create button that all contacts associated with your client's matters and external deadline tasks will also sync. You may further edit sync options in the Settings > Account Syncing tab by clicking the Edit button to choose from further options to also sync Prior Art, choose a Mode, and work with further options.

Preview Account

  1. The newly created Tandem account appears. To preview the account and configure the Dashboard, click the Access Account button. 

  1. You will be automatically taken to the Tandem account. To customize the default Dashboard view, select the Pencil icon. You can then select from available Data and display types for each of the six tiles as desired. You will be able to choose this customization option later when sending the invite. 
  2. Preview the information synced to each Module as needed. 

  1. Return back to the Tandem module by selecting your Profile in the upper-right corner of the page and selecting Switch Accounts to return to your primary account. 

Send Tandem Invite

  1. Back in the Tandem module, you are now ready to send the Tandem invite to the client. Click the Send Invite button. 

  1. If required, change the name of the contact (From field) sending the email.
  2. Enter the name of a contact to receive the invite in the To field. Note: To appear in the list of possible recipients, a contact must be associated with a client and must have an email address. Roles that allow for this include, Corporate Counsel, Employee, Inventor and Manager. 
  3. If you made changes to the default Dashboard settings when you clicked the Access Account button, select your account option from the Clone Dashboard From dropdown. 
  4. You can edit the Subject and the Body of the email before sending. Some special fields are available to insert information into the email.
{AccountName} – Replaced with the name of your AppColl account.
{From.First} - Replaced with the first name of the person sending the invitation.
{From.Last} – Replaced with the last name of the person sending the invitation.
{To.First} - Replaced with the first name of the person receiving the invitation.
{To.Last} – Replaced with the last name of the person receiving the invitation.
{Link} – AppColl will replace {link} with the word “here”, which is the link the recipient should click on to setup their Tandem account. Do not change the text inside the curly brackets. You must include this field somewhere in the body of your email.
{AccountName} – Replaced with the name of your AppColl account.
{EmailPostamble} – Replaced with the Email Postamble from your settings.
 
  1. Click Send. Note that the text you typed will be saved to be reloaded when you next send an invitation.

All invitation links are only valid for 7 days. After that, you will need to resend the invitation. If the client wants to use a different email address as their login user name, you will need to resend the email to the correct address.

Client Accepts Tandem Account Invitation

  1. When a client accepts your invitation to set up an account, the Status will update to Live and you will be able to view their LastLogin information.
  2. After the initial Tandem account creation, an account sync is scheduled for the early morning of the next day, every day going forth. If you ever want to send updated data immediately, click the Sync Now button.

Note: You can send invitations to multiple people within a client. Subsequent invitees will simply create logins to the existing Tandem account.

Review Previous Invitations

All invite emails are saved in the Files module in a folder called ‘TandemInvites’. 

In the Tandem module, you can also click the Activity tab to view all related activities associated with your Tandem accounts. 

Change the Account Syncing Between Your Account and Your Client's Account

Access Further Advanced Options

Go to the Settings > Account Syncing tab to access advanced options. For a full, detailed description of advanced options, see this article

To temporarily disable the nightly syncing of data, uncheck the Enabled column next to the syncing record for the client.

To stop the syncing completely, click on the Trashcan (Delete) button next to the syncing record for the client.

To change the data being synced or select from additional data, such as Prior Art, click on the Edit button on the right of the syncing record. Note that you can also go to the Matters module and modify the ‘Tandem Matter Sync - <client name>’ report to change the matters and/or fields being sent.
